Legal Assistant position –

Sheboygan, WI

Overview

The Legal Assistant provides a broad range of confidential legal administrative tasks, including assisting with drafting documents, proofreading, mailing and copying various documentation, and organizing case files, supporting the attorneys and clients. Provides additional administrative support to attorneys, such as scheduling appointments, managing correspondence, and maintaining records.

Responsibilities

  • Assists in collecting, compiling and organizing legal documentation for attorney review.
  • Assists with the preparation, filing, and service of various documents, filings, and pleadings.
  • Communicates with multiple parties for scheduling and sharing information, including clients, financial institutions, and court personnel.
  • Organizes and manages documents, including creating spreadsheets and retrieval systems.
  • Use legal software and databases to assist attorneys and clients.
  • Tracks billable hours for client invoices.
  • Attend signing appointments for witnessing and notarizing formal legal documents as needed.
  • Assists with general office tasks as needed.
  • Assists with general office workflow and administrative procedures.

Requirements

Education: High School Diploma or GED.

Experience and/or Training: 2 years’ Administrative/Law office experience preferred but not required.

Licenses/Certificates: Continued studies toward an accredited paralegal certificate or law program preferred but not required.

Technology/Equipment: Microsoft Office proficiency required. Experience in legal software such as Tabs3/PracticeMaster, NetDocuments preferred but not required.

Administrative AssiStant Position

Overview

The Administrative Assistant is responsible for handling administrative tasks, customer service, daily errands including post office, courthouse, etc., and assists with front-desk operations. Scan confidential documents and maintain electronic files, databases and paper files, ensuring they are up to date and maintained in accordance with firm standards and procedures. Responsible for witnessing during the signing of legal documents. Front desk responsibilities include handling phone calls, scheduling appointments, greeting and situating clients, and addressing client inquiries and assisting with various other administrative tasks.


Responsibilities

Copy and scan documents, may help prepare confidential documents and maintain electronic files, database and paper files, ensuring they are up to date and maintained in accordance with firm standards and procedures.

  • Attend signing appointments for witnessing and notarizing formal legal documents as needed.
  • Schedule and maintain calendars and appointments for attorneys, staff, and clients. Confirms appointments.
  • Monitor office supply inventory.
  • Greet clients and visitors by welcoming and directing them to the appropriate staff, ensuring a positive first impression.
  • Assist in managing firm phone calls by answering, screening, and forwarding calls.
  • Manages mail and correspondence by sorting, distributing, and preparing outgoing mail, faxes, and emails.
  • Assist in directing client inquiries.
  • May need to provide coverage at other office locations as needed.
  • Run daily office errands. This includes collecting mail from the post office, picking up supplies and deliveries to other firms including legal documents, court filings, or other tasks as requested by attorneys or staff.


Requirements

  • High school diploma or GED
  • Proven experience in an administrative role or similar capacity is preferred.
  • 2 years of administrative experience in a professional office setting required. Law firm experience preferred.
  • Strong time management skills with the ability to prioritize tasks effectively.
  • Excellent computer literacy with experience in Microsoft Office including Outlook software, profiency with phone operations required. Ability to be proficient with other document management and filing software.
  • Strong attention to detail for proofreading documents accurately.
  • Ability to communicate effectively both verbally and in writing.

Requirements:

Education: High school diploma or GED

Experience and/or Training: At least 2 years of administrative experience in a professional office setting required. Law firm experience preferred.
